Job Summary

The Scholarship Coordinator manages the administration of institutional scholarships while fostering strong relationships with donors, staff, and faculty. Responsibilities include drafting scholarship agreements, coordinating with Financial Aid, overseeing donor communications, and ensuring timely distribution of funds and thank-you notes. This role requires exceptional communication, organizational, and time-management skills, along with proficiency in Microsoft Office Suite. The coordinator also supports donor engagement, marketing efforts, and event planning to enhance scholarship initiatives.

Duties/Responsibilities

Collaborate with donors, DTS staff, and faculty to establish new scholarships.
Draft and manage Scholarship Agreements.
Coordinate scholarships with the Financial Aid office.
Develop and implement an online system for collecting student thank-you notes.
Review and approve student thank-you notes for donors, ensuring timely distribution.
Cultivate relationships with current donors and solicit new scholarship gifts.
Participate in marketing projects for the Foundation as needed.
Manage the purchase and distribution of annual Legacy Society, Scholarship, and DAF gifts.
Maintain donor records in the database and document storage systems.
Oversee the appropriate distribution of scholarships, coordinating with donors, staff, and faculty.
Process scholarship grants and manage recipient recommendations in communication with donors.
Serve as the primary contact for donors establishing new scholarships.
Handle correspondence related to the Foundations scholarship accounts and maintain scholarship agreement files.
Coordinate with DTS departments to ensure accurate and timely distribution of scholarships for tuition, living allowances, books, fees, and health insurance.
Update scholarship information on the DTS website and publications.
Ensure thank-you letters are sent to the appropriate donors and related parties.
Manage the Lewis Sperry Chafer Society, including regular communication, gift selection, procurement logistics, and transmittal.
Schedule monthly email campaigns for the Foundation.
Maintain updated printed informational materials.
Assist in planning and coordinating donor events such as webinars, workshops, lunches, and other gatherings.

Proven time management skills with the ability to meet deadlines.
Ability to coordinate efforts among multiple stakeholders (donors, staff, and faculty).

Education and Experience

Bachelors Degree in Business Administration, Communications, Marketing, Education, or a related field; and/or
Professional experience in donor relations, scholarship management, or higher education administration
Certification or coursework in nonprofit management, fundraising, or customer relationship management (CRM) systems (preferred)
