The
Executive Assistant is responsible for supporting senior executives by overseeing a range of high-level administrative functions. This position involves proactively managing executive schedules, coordinating complex travel arrangements, and facilitating communication across various departments. The Executive Assistant will lead efforts to streamline office operations, enhance executive productivity, and ensure seamless execution of key initiatives. This role requires a proactive, detail-oriented professional who excels in managing multiple priorities, solving problems, and driving organizational efficiency.

Your Responsibilities On The Team
- Organize, prioritize, and manage large volumes of confidential and time-sensitive information.
- Answer and screen the President’s phone calls, taking detailed messages.
- Greet visitors and coordinate setup and cleanup for business meetings.
- Arrange meetings, appointments, and business travel.
- Maintain and execute detailed systems and processes to support project goals.
- Proactively manage calendars, schedules, and appointments, anticipating priorities.
- Type business correspondence and create/edit spreadsheets and presentations using Microsoft Office on Mac.
- Collect and organize daily, weekly, and monthly reports.
- Prioritize and handle phone calls/emails, providing public relations support and resolving issues.
- Maintain an accurate and organized filing system and prepare expense reports.
- Develop processes for efficient office management, including supply ordering.
- Assign and track building access cards and troubleshoot office equipment.
- Serve as the main contact for building management issues (e.g., pest control, maintenance).
- Manage the company phone system, including updates to names and greetings.
- Coordinate meeting materials, handle mailings, and order food and gifts as needed.
- Undertake special projects and cross-train as required.
Requirements
- High School Diploma or equivalent required.
- Experience as a C-level executive assistant is essential.
- Professional appearance and demeanor.
- Ability to perform multiple, detail-oriented tasks with simultaneous deadlines.
- Advanced communication skills, both written and verbal.
- Excellent organizational and writing skills.
- Strong work ethic, integrity, and loyalty.
- Team player with the ability to work well under pressure.
Physical & Office/Site Presence Requirements:
This is primarily a sedentary office position which requires the ability to occasionally bend, stoop, reach, lift, move and carry office supplies weighing 25 pounds or less. Finger dexterity is required to operate computer keyboard, calculator and telephone equipment.
