About the Role
This role serves as a key support function to the Resident Engineer (RE), Construction Manager (CM), and project team by managing project documentation, coordinating contract administration processes, and supporting project controls functions. The ideal candidate is proactive, highly organized, and comfortable working in a fast-paced construction environment while interfacing directly with contractors and CM staff.
Responsibilities
- Project Controls & Contract Administration:
- Process and track contractor submittals and Requests for Information (RFIs) from receipt through resolution
- Lead and coordinate discussions on submittals and RFIs during weekly progress meetings with CM staff and contractors
- Assist in the preparation, tracking, and documentation of Contract Change Orders (CCOs)
- Prepare and process monthly contractor progress payment packages, including quantity verification and supporting documentation
- Prepare weekly statements of working days and support schedule tracking efforts
- Assist with tracking project budgets, contingencies, and contract compliance
- Document Control & Systems Management:
- Manage, log, track, and distribute all project documentation using systems such as e-Builder / Trimble
- Maintain organized electronic and hard copy filing systems in accordance with agency standards
- Ensure all project records are accurate, current, and audit-ready
- Support project closeout by preparing and organizing final project records
- Project Coordination & Communication:
- Draft meeting agendas, meeting minutes, and project correspondence
- Coordinate with CM staff, inspectors, and contractors to ensure timely document flow and issue resolution
- Support weekly and monthly reporting efforts, including status reports and progress updates
- Assist with coordination of project activities, job walks, and stakeholder communications
Qualifications
- Required:
- 5+ years of experience in project controls, document control, or construction administration on public works projects
- Proficiency in e-Builder / Trimble (required)
- Experience with:
- Submittals and RFI processing
- Contract change orders (CCOs)
- Monthly progress payments
- Weekly statement of working days
- Experience drafting meeting agendas and minutes
- Strong organizational and document management skills
- Ability to lead coordination discussions with CM teams and contractors
- Proficiency in Microsoft Office, Adobe, and Bluebeam
- Preferred:
- Experience supporting public agency or infrastructure projects (transit, water, civil)
- Familiarity with Primavera P6, Procore, or similar systems
- Certifications in document control or project controls
