We are seeking a highly organized, detail-oriented, and motivated Construction Contract Administrator to join our team. This position plays a vital role in supporting our Contracts and Estimating Departments by coordinating project startup, contract administration, subcontractor compliance, insurance documentation, and project closeout. The ideal candidate thrives in a fast-paced construction environment and enjoys managing multiple priorities while maintaining a high level of accuracy.
Responsibilities
- Prepare, review, and process construction contracts, subcontracts, and subcontract change orders.
- Coordinate certificates of insurance, bonds, OCIP/WRAP enrollments, and other contract requirements.
- Maintain contract logs, subcontract records, and project documentation.
- Enter and maintain subcontract and change order information in Sage 300 Contractor.
- Manage vendor and subcontractor insurance compliance and monitor policy expirations.
- Coordinate new project setup, including creating job folders, assigning job numbers, and entering project information into Sage.
- Process new vendor setup, including W-9 collection, insurance verification, contractor licensing, DIR registration, and Secretary of State verification.
- Assist with annual insurance renewals and project-specific insurance requirements.
- Support the Estimating Department with prequalification packages, bidding documents, bonds, and bid logs.
- Coordinate equipment registration renewals and maintain equipment insurance schedules.
- Assist with annual audits by preparing documentation and project questionnaires.
- Prepare reports, spreadsheets, and maintain organized electronic project files.
- Perform general administrative duties and notarize documents as needed.

- A willingness to learn, accept feedback, and continuously grow.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Experience with AI tools preferred.
- Construction experience is a plus but not required—we are willing to train the right candidate.
