Job Summary
The Contracts Administrator supports the preparation, administration, and tracking of construction-related agreements and documentation. This position reviews subcontract documents, compiles contract packages, evaluates agreements for compliance with company standards, coordinates document execution, and maintains accurate contract records.
The Contracts Administrator understands how agreements, exhibits, addenda, scopes of work, bonds, and other incorporated documents operate together as a complete contract package. This position reviews multiple related documents to identify conflicting, inconsistent, duplicative, or redundant provisions and coordinates with appropriate stakeholders to resolve discrepancies before execution.
The Contracts Administrator also processes requests for contract modifications, reviews subcontractor bonds, and works collaboratively with operations staff and project teams to identify and address contracting requirements across all regions. This role serves as a practical, responsive resource to operations, balancing contract compliance with project needs and timelines.
SALARY RANGE: $85,000 - $105,000 annually

Job Responsibilities
- Edit, review, and process subcontracts, designer agreements, owner agreements, bonds, addenda, and other contract-related documents.
- Review agreements, exhibits, scopes of work, addenda, bonds, and incorporated documents collectively to understand how their terms interact and apply to the project.
- Identify conflicting, inconsistent, duplicative, redundant, or missing language across contract documents and coordinate clarification or resolution with the appropriate stakeholders.
- Evaluate flow-down requirements and confirm that applicable owner-contract obligations are accurately and consistently incorporated into downstream agreements.
- Prepare documents using BNB’s internal software, AIA Contract Documents software, DBIA forms, and other applicable systems.
- Perform quality-control reviews to confirm document accuracy, authorized signatories, current licenses, approved forms, and compliance with company contracting policies.
- Prepare, organize, and maintain contract records, electronic files, tracking logs, and supporting documentation.
- Track contract issuance and execution and provide timely status updates to project teams across all regions.
- Conduct project audits to evaluate compliance with company contracting policies and procedures.
- Monitor and manage a shared contracts inbox in coordination with regional team members.
- Process, track, renew, and maintain Master Subcontract Agreements and related logs.
- Review subcontractor bonds for accuracy and compliance with contractual requirements.
- Build collaborative working relationships with operations staff and project teams, providing responsive and practical support throughout the contracting process.
- Partner with operations staff to understand project-specific needs, identify potential contract issues, and develop solutions that support both company requirements and project execution.
- Assist project teams and other employees in understanding and applying contracting policies, procedures, and contractual requirements.
- Perform other related duties and special projects, as assigned.
Qualifications
- Bachelor’s degree in business, construction management, or a related field and at least seven years of contract administration experience, or an equivalent combination of education and relevant experience.
- Construction industry experience is preferred.
- Experience with AIA Contract Documents software is preferred.
- Advanced proficiency with Microsoft Office applications.
- Strong written and verbal communication skills.
- Excellent organization skills and attention to detail.
- Ability to manage multiple assignments, priorities, and deadlines in a fast-paced environment.
- Demonstrated reliability, flexibility, punctuality, and timely completion of assignments.
- Ability to work independently, take initiative, and identify tasks requiring attention.

While performing the duties of this position, the employee is frequently required to sit, communicate, reach and manipulate objects, tools or controls. The position requires mobility. Duties involve moving materials weighing up to 10 pounds on a regular basis and up to 25 pounds on an occasional basis. Manual dexterity and coordination are required over 50% of the work period while operating equipment such as computer keyboard, mouse, calculator and similar machines.
