Mission:
The Team Operations Coordinator (TeamOps) plays a vital role in ensuring smooth and efficient daily operations within the Austin office, often focusing on tasks like logistics, project management, and communication, while supporting teams in achieving their goals. TeamOps is a highly organized, proactive role that works closely with Austin team members and leadership to ensure all needs are met within the office. Reporting to the COO, this role involves managing calendars, coordinating travel, organizing meetings and events, maintaining records, and ensuring smooth office operations with a focus on efficiency and proactive problem-solving. Additionally, this role will help organize office functions, including offsites and opportunities for the team to engage within the Austin community.
Location: Hybrid, Austin, TX
Responsibilities:
- Proactive and attention to detail, organization, and strong calendaring skills (Gmail/Google Calendar)
- Oversee daily office operations to ensure the workplace is efficient and productive
- Manage office supplies, inventory, and equipment to ensure everything is stocked and functional
- Serve as the primary point of contact for office-related inquiries and troubleshooting
- Maintain office facilities, ensuring the environment is clean, safe, and conducive to a positive working atmosphere
- Coordinate office repairs and maintenance with external vendors and contractors
- Coordinate new hire onboarding process with HR, Recruiting and IT, providing assistance when required
- Ensure compliance with health and safety regulations and company policies
- Manage relationships with vendors, suppliers, and service providers, including negotiating contracts and ensuring timely delivery of services
- Partner with a global team in UK and India when required
- Manage swag supplies for global team and customers in partnership with HR and CS
- Take on special projects as requested to support the COO operations
Requirements/Skills:
- Education: Bachelor’s Degree preferred
- Organizational Skills: Highly organized with an aptitude for problem-solving and prioritizing tasks.
- Communication Skills: Strong verbal and written communication skills.
- Interpersonal Skills: Ability to work effectively with employees and management.
- Technical Skills: Proficiency in relevant software and tools, such as Apple products, Google Suite and Microsoft Office programs.
- Experience: Prior work experience in relevant industries or roles is often an asset
- Time management: Punctual and ability to deliver against deadlines; self-starter who thrives in a dynamic, start-up environment with a "can-do" attitude.
