Job Summary
As the Executive Assistant, you will be responsible for expense management, including preparing and submitting expense reports, handle meeting coordination and scheduling, as well as handling travel arrangements for executive level team members. Additionally, you’ll coordinate ticket distribution for NHL, WNBA, and concert events throughout the year. Your role also involves off-site meeting coordination, where you’ll arrange training sessions and meeting spaces, including catering, for the regional leadership. Calendar administration, administrative projects, and front desk support are integral parts of this position additionally.
SALARY RANGE: $75,000.00 - $82,000.00 annually

Job Responsibilities
General:
- You may work with third parties on behalf of the executive team and will need to be able to make decisions that lead to the success of BNBuilders.
- If the Regional Office Manager is not available the Executive Assistant may need to make decisions on behalf of BNBuilders.
Expense Management
- Prepare and submit expense reports as needed.
- Handle booking travel arrangements (hotels, airfare, Uber) for Regional Leadership Team and Project Executive team members.
Ticket Coordination
- Manage ticket distribution for MLB, NHL, WNBA, and concert events throughout the year.
Off-site Meeting Coordination
- Arrange off-site training sessions and meeting spaces, including catering, for leadership and training.
Calendar Administration
- Maintain calendars and handle reoccurring meeting invitations for Business Development and various employee groups.
Administrative Responsibilities
- Assist with various administrative tasks, such as setting up templates, handling correspondence, and maintaining client contact information.
- Maintain document control, including archiving and meeting minutes.
- Support the regional leadership by organizing events, managing staffing projections, submitting timesheets, and maintaining project logs.
- Handle client communications, coordinate gifts, and register for conferences as needed.
Front Desk Support
- Provide coverage at the front desk when necessary.
Qualifications
- 3+ years of senior level leadership support experience
- Proficient computer skills and in-depth knowledge of relevant software such as Microsoft Office Suite.
- Knowledge of standard administrative practices and procedures.

While performing the duties of this position, the employee is frequently required to sit, communicate, reach and manipulate objects, tools or controls. The position requires mobility. Duties involve moving materials weighing up to 20 pounds on a regular basis and up to 30 pounds on an occasional basis. Manual dexterity and coordination are required over 50% of the work period while operating equipment such as computer keyboard, mouse, calculator and similar machines.
