Job Description
AECOM is actively seeking an Office Management Specialist IV for immediate employment in Orange, CA.
The responsibilities of this position include, but are not limited to:
- Under general direction, plans, coordinates, supervises and administers office and administrative support services for mega-sized project offices.
- Plans and implements the office services budget.
- Develops, implements, directs and coordinates policies and programs consistent with company philosophy and objectives.
- Is responsible for the efficient operation and performance of the unit.
- Plans and coordinates office and telephone relocations and facilities remodeling.
- Assist to ensure project conformance with SANDAG and Caltrans specifications and federal regulations
- Communicate with inspectors, contractors, and partner consultants
- Upload project documentation to Trimble Unity.
- Organize and attend preconstruction conferences and weekly construction meetings. Send out meeting materials and meeting notes for said meetings.
- Perform administrative duties for the CM team, ie. Manage and process mileage records and client invoicing.
Qualifications
Minimum Requirements:
- BA/BS + 6 years of relevant experience or demonstrated equivalency of experience and/or education.
- Motor vehicle check required.
Preferred Qualifications:
- Organizational skills and ability to prioritize tasks effectively and efficiently.
- Good customer service, communication, and interpersonal skills.
- Excellent computer skills required, including but not limited to spreadsheet creation & manipulation (Excel), word processing, and web knowledge.
- Motivated, quick learner with proficiency in basic math.
- Ability to problem solve and research.
- Ability to work overtime during construction season if needed.
- Must possess valid driver's license and be able to travel as needed.
