T.B. Penick & Sons is seeking a highly organized, proactive, and detail-oriented Field Project Administrator to support our construction operations team at an active jobsite. This position serves as the administrative hub of the field office, partnering closely with Project Managers, Superintendents, subcontractors, vendors, and corporate departments to ensure project documentation, communication, and compliance processes are executed efficiently.

Key ResponsibilitiesProject Administration & Document Control
- Maintain and organize all project records, correspondence, contracts, submittals, RFIs, meeting minutes, and reports.
- Manage electronic and physical filing systems to ensure project documentation remains current and accessible.
- Assist with preparation, distribution, and tracking of project documentation and reports.
- Support document management within project management software platforms.
Field Office Operations
- Coordinate daily administrative functions of the jobsite field office.
- Serve as the primary point of contact for visitors, deliveries, vendors, subcontractors, and project personnel.
- Manage incoming calls, emails, and project-related correspondence.
- Order and maintain office supplies and coordinate equipment needs for the project team.
Subcontractor & Vendor Support
- Track subcontractor compliance requirements, including insurance certificates, safety documentation, and other project-required records.
- Assist with subcontract and purchase order administration.
- Coordinate communication between project teams, subcontractors, suppliers, and corporate departments.
- Follow up on documentation requests and outstanding compliance items.
Safety & Compliance Support
- Assist with new worker orientations and jobsite onboarding documentation.
- Maintain safety records, reports, training logs, and project compliance documentation.
- Track inspections, permits, and regulatory documentation as directed by the project team.
- Support compliance with company safety policies and project-specific requirements.
Project Coordination
- Schedule meetings and coordinate logistics for project team activities.
- Prepare meeting agendas, distribute meeting minutes, and track action items.
- Assist in compiling owner reports, project updates, and other project deliverables.
- Support project managers and field leadership with administrative functions as needed.
QualificationsRequired
- High school diploma or equivalent.
- Minimum 2 years of administrative experience in construction, engineering, project management, or a related industry.
- Strong proficiency with Microsoft Office (Outlook, Word, Excel, Teams, and PowerPoint).
- Exceptional organizational skills and attention to detail.
- Strong verbal and written communication abilities.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Ability to work onsite full-time at a construction project.
Preferred
- Experience supporting commercial, multifamily, or public works construction projects.
- Familiarity with project management platforms such as ProjectSight, Procore, Bluebeam, Textura, or similar software.
- Understanding of construction terminology, document control processes, and subcontractor compliance requirements.
- Experience with certified payroll, prevailing wage documentation, or public agency reporting.
